Assistant Director of Operations

The Assistant Director of Admissions Operations provides second level oversight of the Admissions Operations Team and provides direct support for the successful flow of applicant communications to prospective students. This position is responsible for ensuring the successful management of the daily interface of admissions’ customer relationship management system to the student information system. Additionally, this position is responsible for developing and delivery of reports from the admission office to campus constituents in collaboration with the Associate Director of Operations. This position may also be responsible for managing the applications, communications, and reports for all scholarships and special scholarship programs.

- Supervises and/or conducts the daily interface of Admissions customer relationship management system with the campus student information system.
- Manages bulk communications to prospective students from the time of application to enrollment or withdrawal, including oversight of annual updates to: letters, emails and text communication; completing database mail merges; creating email templates; and managing the logistics of large bulk mailings.
- Oversees the publication and communication materials inventory, including communicating with vendors regarding print and mail services estimates, coordinating deliveries, and monitoring inventory levels in collaboration with Operation team members.
- Writes reports for the Admissions Office that may be needed by the Director as well as other departments across campus.
- Manages the application, award, and communication process for the Academic Merit Scholarships and Tuition Grants.
- Provides direct support for Scholars Weekend and all associated data for the Talent and Scholars Programs.
- Interviews, trains and supervises student workers.
- Manages payment platform reporting.
- Provides a high degree of customer service to faculty and staff by responding to e-mail and telephone inquiries.
- Produces and manages detailed documentation of procedures relevant to this position.
- Provides back up support for the receipt of application data from multiple sources, enters application data into the system, and matches credentials to student records.
- Performs other duties as assigned.

Skills Needed:
- Strong oral and written communication skills.
- Experience in Microsoft Office, Microsoft Word, Excel, and Access.
- Previous experience with customer relationship management platforms is required.  Familiarity with Ellucian/Colleague.  Technolutions SLATE CRM experience highly preferred.

Key interfaces:
- Interacts with the admissions team, student workers, student service departments, and faculty.

Education & Experience:
- Bachelor's degree required.
- Three or more years of professional experience. Prior experience with data management, client relations management software, and delivery of print and electronic communications is preferred.

Working conditions & physical demands:
- General office setting with moderate noise level.
