Departmental Assistant - Music

The general purpose of this position is to provide support to faculty and students in the Music Department and support the Capital City Girls Choir. This position often serves as the first point of contact for students, faculty, staff, community members, and prospective students. The Departmental Assistant must be familiar with all aspects of the department, and may be called upon to make decisions in the event the Music Department Head is unavailable. The person in this position must be a forward thinker and anticipate the needs for upcoming tasks and events before the deadlines approach.  Position is full-time, 40 hours per week. Must be able to work Monday evenings and one Sunday Evening per month.

- Provide administrative support to the Meredith College Department of Music and Capital City Girls Choir.
- Maintain and monitor budget for Department of Music and CCGC.
- Publish and distribute promotional and registration materials and edit webpage for Department of Music.
- Provide general administrative support to department head(s) and/or program director(s), faculty, and staff.
- Supervise department student workers.
- Support office management including telephone/receptionist duties.
- Coordinate and/or prepare files, reports and administrative information flow to other offices.
- Serve as first contact for and provide information to prospective students and community members interested in programs in the units being supported.
- Coordinate communication for ordering supplies and equipment, for providing building and venue upkeep, and for equipment maintenance and repair.
- Coordinate ordering of music and maintain choral music database as new music is purchased.
- Provide backup support for other administrative/department assistants.
- Collect CCGC payments including:
     Tuition payments, including regularly scheduled payments and delinquent payments
     All wardrobe payments
     All special payments where money is collected from parents (tickets for special events, ect.)
     Attend monthly CCGC board meetings (one Sunday evening per month), provide monthly overview of accounts as provided by administrator and provide feedback concerning Meredith Collee Rules and Procedures
- Provide support for parent volunteers and communicate regularly with parent committees.
- Assist directors, board members, and volunteers with planning, coordinating, supervising special events and festivals.
- Coordinate auditions, including:
     Update website with audition dates and link to online audition request form
     Work with graphic designer to create ads and promotional materials for use in print, web format and social media advertising audition dates
     Respond by phone to all online audition requests providing information about the choir, mission audition process, tuition and attendance policies
     Manage calendar of auditions
- Support other miscellaneous duties as necessary.

- High school diploma required
- Excellent written and verbal skills
- Evidence of initiative, maturity, and professionalism
- Excellent organizational ability, time management, and interpersonal skills
- Computer skills must include extensive experience with Microsoft Office including Word, and Excel, Google drive, Google sheets, and other Google applications, Powerpoint, Publisher, AdobePro
     1. Adobe PremierePro a plus
     2. Electronic forms
     3. Calendaring
- Social media, including Facebook, Twitter, Instagram, Youtube
     1. General knowledge of social media analytics a plus
- Experience with Datatel preferred
- Ability to generate and analyze reports
- Music background a plus
- Experience in an academic setting is preferred
- Creative design skills desired
- Must be able to work Monday evenings and one Sunday Evening per month
